1. Who we are

Digital Worker Services Private Limited (“DWS”, “we”, “us”, “our”) is a company incorporated in India with its registered office at E7, Heavenly Plaza, Civil Line Road, Kochi, Kerala, India - 682021. We operate this website and deliver managed agent operations under the bots.services brand.

For the purposes of the Digital Personal Data Protection Act, 2023 (India) we act as a Data Fiduciary in respect of personal data we collect through this website and in the course of our own business development. For the purposes of the UK GDPR and EU GDPR we act as a controller for the same activities.

Where we process personal data inside a client’s workflow as part of a delivery engagement, we act as a Data Processor (GDPR: processor) on that client’s instructions. That processing is governed by the data processing agreement in the relevant contract, not by this policy.

2. Scope of this policy

This policy covers personal information we collect when you visit this website, contact us, subscribe to our newsletter, apply for a role, or engage with us commercially. It does not cover third-party websites we link to, or client systems we operate under contract.

3. Information we collect

Information you give us

• Contact form and workshop booking — name, business email address, company name, telephone number where you provide it, and the content of your enquiry.
• Newsletter subscription — email address.
• Commercial correspondence — information you share with us by email, telephone or in meetings during a sales or delivery conversation.
• Recruitment — where you apply for a role, your CV and the information in it.

Information collected automatically

• Server logs — IP address, user-agent string, requested URL, referring URL, and timestamp. Our web server records these for every request as a normal part of operating and securing the site.
• Approximate location — inferred from IP address at country or city level only. We do not collect precise geolocation.

We do not run advertising trackers, third-party analytics scripts, or cross-site profiling on this website. We do not knowingly collect special category or sensitive personal data through this site, and we ask that you do not send it to us through the contact form.

Third-party embedded content

Client story videos are hosted on YouTube and embedded through youtube-nocookie.com. Nothing is requested from Google until you click to play a video. Once you do, Google receives your IP address and may set cookies under its own privacy policy, over which we have no control.

Our social feed is compiled on our own server into a static file before the page is served. Loading the social page does not contact LinkedIn, YouTube or Instagram on your behalf.

4. Why we collect it, and our lawful basis

• To respond to your enquiry and provide the services you ask for — performance of a contract, or steps taken at your request before entering one. Under the DPDP Act, the legitimate use of responding to information you have voluntarily provided for that purpose.
• To send you the newsletter you asked for — your consent, which you may withdraw at any time.
• To operate, secure and troubleshoot the website, and to prevent abuse — our legitimate interests in running a safe service.
• To assess a job application — steps taken at your request before a possible employment contract.
• To meet legal, tax and accounting obligations — compliance with a legal obligation.

We do not sell personal information, and we do not use it to make automated decisions that produce legal effects for you.

5. How we store and protect it

The website is served from Amazon Web Services infrastructure behind Nginx, over HTTPS with TLS. Enquiries submitted through the contact form are delivered to our support mailbox by email; the website itself keeps no database of submissions. Newsletter subscriptions are held in our email marketing platform.

Access to personal information is limited to the personnel who need it to do their job, under confidentiality obligations. We apply access controls, encryption in transit, and logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Who we share it with

We share personal information only with:

• Service providers who process it on our instructions — hosting and infrastructure, email delivery and email marketing, customer relationship management, and IT support. They are bound by contract to process it only for us.
• Professional advisers — legal, accounting, insurance and audit, where necessary.
• Authorities — where we are required to disclose by law, or to establish, exercise or defend legal claims.
• An acquirer — if we are involved in a merger, acquisition or asset sale, subject to equivalent protection.

We do not share personal information with advertisers or data brokers.

7. International transfers

We operate from India, the United States and the United Kingdom, and our service providers may process data in other countries. Where personal information moves out of the UK or EEA, we rely on an adequacy decision where one exists, or on Standard Contractual Clauses or the UK International Data Transfer Addendum together with a transfer risk assessment. Transfers out of India are made in accordance with the DPDP Act and any restrictions notified under it.

8. How long we keep it

• Enquiries that do not become a relationship — up to 24 months from last contact.
• Client and supplier records — for the life of the contract and then as required by Indian tax, company and limitation law.
• Newsletter subscriptions — until you unsubscribe, and then a suppression record so we do not contact you again.
• Unsuccessful job applications — up to 12 months, unless you ask us to keep them on file.
• Server logs — up to 90 days in the ordinary course, longer where needed to investigate a security incident.

9. Cookies and similar technologies

This website sets no cookies of its own. We use no advertising, analytics or profiling cookies, and there is therefore no cookie consent banner. Your colour-theme choice is held in memory for the duration of your visit and is not written to storage.

If you play an embedded YouTube video, Google may set cookies on your device at that point. You can control cookies through your browser settings; blocking them will not affect your use of this site.

10. Your rights

Subject to the law that applies to you, you may:

• Access the personal information we hold about you, and receive a summary of it.
• Correct information that is inaccurate, misleading or incomplete, and have it completed or updated.
• Erase information where we no longer have a lawful reason to keep it.
• Withdraw consent at any time, where consent is our basis. This does not affect processing already carried out.
• Object to or restrict processing based on legitimate interests.
• Portability — receive certain information in a structured, machine-readable format.
• Nominate another person to exercise your rights on your behalf in the event of death or incapacity, under the DPDP Act.
• Complain — to us first, and then to a regulator. In India, the Data Protection Board of India. In the UK, the Information Commissioner’s Office. In the EEA, your national supervisory authority.

To exercise any of these, email support@bots.services. We will respond within 30 days. We may ask you to verify your identity first. There is no fee for a reasonable request.

If you are a California resident, we do not sell or share personal information as those terms are used in the CCPA, and we do not process it for cross-context behavioural advertising.

11. Withdrawing consent and unsubscribing

Every marketing email carries an unsubscribe link that takes effect immediately. You can also email support@bots.services and ask us to stop. We will continue to send operational messages about a live engagement, because those are not marketing.

12. Children

This is a business-to-business website. We do not direct it at children and we do not knowingly collect personal data of a child under 18. If you believe a child has given us personal data, contact us and we will delete it.

14. Changes to this policy

We may update this policy as our business, the law or our technology changes. The revision date at the top of this page always shows the current version. Where a change materially affects your rights we will take reasonable steps to tell you, and where the law requires it we will ask for fresh consent.
